Tracking Compliance of Job

Let your team stay organized and on track - no matter where their service appointment takes them. In order to complete the job, your service team will have to fulfill all the criteria set by the management, ensuring the highest quality of customer service. For example, you can require your service team to check- in once on site, upload before and after service images, state the reason for an equipment or machinery breaking down, fill up the service report, or check-out once they’re done before they can complete the job. Besides that, new employees will find it easy to perform at work, making their transition into the workplace a breeze.



This will ensure that all tasks are done within the stipulated requirements, shares the same level of consistency throughout all the team members, and ensures the notes and files are all uploaded accordingly inside of the jobs themselves.

Once the To-Do List has been set-up, all users in the system will be required to complete the tasks in the To-Do List before finally updating the status of the job. It can be set in a way that requires the users to complete all the tasks before they can progress to the next status. For example, staff will need to perform some parts checking before they can set the status to In-Progress, and once the job status is in-progress, only then they can perform maintenance tasks before finally updating the job to Completed.

You will also be able to enforce task requirements like mandatory comments, file attachments requirement as well as specific comment updates enforcement in the job itself, which can also be aligned to specific job statuses.

 

How can I use the To-Do List

The To-Do List will be available in both app and web, where it will appear in the Job Details page as below: 


From this To-Do List, you can select any of the options in order to perform the specific task needed for the Job. 

  1. The To-Do List will be related to the specific status of the job. For example, upon starting the job, the job status is Not Started, and you will be required to perform your Check-In, in order to change the status from "Not Started" to "In Progress".



  2. Tap on the Check-In button to perform your check-in.




  3.  Once you have successfully checked-in, the system will prompt you to update the Job Status from Not Started to In Progress. 



  4. The To-Do List will now change according to the Job Status, and you will find more tasks for you to perform in order to complete the Job.

  5. You may now proceed with the Job task, by tapping on the Before Service button, in order upload attachments according to the Job requirements.



  6. The Before Service Task will require you to upload a photo using the Caction Camera, or upload a document as an attachment for the job. 



  7. Once you have attached the required attachments in the comment, you can type in specific text as part of the comments, to provide details on the task. Press Send once all the details is specified on the comment.



  8. The To-Do List will mark the Before Service task as done once the comment has been uploaded in the system. 



  9. Once the service has been done and all necessary maintenance and repairs are complete, you can then proceed to tap on the After Service button, to provide details on what has been done for the service.




  10. The After Service Task will also require you to upload a photo using the Caction Camera, or upload a document as an attachment for the job.



  11. Type in any details related to the service as part of the comments as required. After that, press Send to upload the comment, and complete the After Service task.




  12. The To-Do List will mark the After Service task as done once the comment has been uploaded in the system. 



  13. You will also be required to create a Preventative Maintenance Report, which you can do so from the To-Do List by pressing on the Create Maintenance button.



  14. After pressing on the Create Maintenance button, it will bring you to the Preventative Maintenance Report Creation page, which you can proceed to update the contents accordingly. Once all the details has been updated in the Report, press on the Save button on the top right corner of the screen.




  15. Once saved, the system will automatically open the Report as shown in below, which you can review its details before proceeding to finally complete the Job.



  16. Go back to the previous page, back to the Job Details page, and this time you will see that the Create Maintenance task is already completed.



  17. The final step before completing the job is to Check-Out. For this, press on the Check-Out button on the To-Do List and you can then proceed to check out of the job. 


  18. You will be prompted to update the Job Status once all tasks in the To-Do list has been completed. Press on the Change to Next Status to update the Job Status immediately.


  19. The job is now complete and you can proceed to perform the next job in your schedule.



With this, the job will always be completed in accordance of compliance, as you will not be able to freely change the status of the job as long as the To-Do List is not completed properly. This will ensure that everything is done within all stipulated procedures and reduces the possibility of missing out on any of the tasks, as well as enabling you to be able to perform your work seamlessly.
