Status Segmentation Guide

The Status Segmentation page allows you to control which status options appear for different types of data — such as Project, Job, or Digital Form. You can define status visibility based on project category, account type, or user role to ensure only relevant statuses are shown. It also allows you to attach a set of To-Do List requirements that must be fulfilled before a status can be updated.

Benefits :

  • Prevents confusion by hiding statuses that are not relevant.

  • Reduces the risk of selecting the wrong status.

  • Helps ensure a consistent workflow for different teams.

  • Allows flexible control of status visibility by account type or user role.

Note : This setting does not apply to Customers.

  1. On the desktop site, navigate to Company Settings, then select Project Settings, and click Project Status Segmentation.

  1. Click the tab at the top of the page to switch between data types such as Job, Project, Digital Form, Public Form and Asset.

  1. From the category list on the left, select the category you wish to configure.

  1. Click on the area below 'Select Statuses' to open a dropdown menu. From there, you can check or uncheck the relevant statuses.

  1. Click on the Visibility dropdown to choose who can view the status.

  1. Check the box under To-Do List if you want the status to show the required tasks.
    If left unchecked, the tasks won’t be visible until you try to change the status, at which point you’ll be prompted to complete them.

  1. Click the Trash Icon to remove a status from the selected category.
    *Note: You can also remove a status by unchecking it above.

  1. Click Clear All Selections to reset the status segmentation.
    *Notes: All the statuses will be removed.

  1. Click the 'Save Changes' button to apply your changes.

  1. A success prompt will appear once your changes are saved.
