QR codes generated by our system are designed with smart routing, allowing a single code to serve different purposes depending on the scanner used.
-
Internal Access: Scanning with the Caction QR Scanner in the mobile app opens specific system records, such as Jobs, Assets, Customers, or Projects, for users logged into the app.
-
Public Access: Scanning with a Normal QR Scanner (phone camera or third-party app) opens a Public Form, allowing external users to submit information without accessing the app (available to subscribed clients).
This ensures internal workflows and external submissions are handled appropriately, providing distinct, optimized experiences for both user groups.
Operational Benefits
The use of our dual-scanner system provides specific, measurable advantages for both internal efficiency and customer interaction:
-
Secure Access for Internal Staff: The Caction QR Scanner offers authenticated entry directly into system records, bypassing manual search and ensuring all accessed data is viewed within a controlled, logged-in environment.
-
Frictionless Public Submission: Everyone can initiate service requests, provide feedback, or log tickets instantly using their standard device camera—eliminating the need for account creation or app downloads.
-
Instant Data Traceability: When using Linked QR Codes, all public submissions are automatically tagged and filed against the correct system entity (Job, Asset, etc.), providing complete and accurate data context for internal teams.
-
Optimized Workflow: The system ensures the right user is sent to the right destination: internal staff to secure data, and external users to submission forms.

Extra : Caction QR Code Overview
Through the use of our Caction platform, you will have the option to create a QR Code that you can attach to your specific Assets. These QR Codes can be used for multiple purposes, where externally, customers can scan the QR codes and fill up a form that is attached to the QR code, which will allow users to submit their inquiries or request any kind of assistance through the form. For the internal users of the Caction App from your company, they can use the Caction QR Scanner on the QR codes, which will open an entirely new page for the users to go through.
These QR Codes can be attached to certain items in the system, which includes:
- Customer
- Project
- Job
- Digital Form
- Asset
- General

Caction QR Scanner vs. Other QR Scanners
Both scanners read QR codes, but the outcome depends on which scanner is used. This difference is due to the Caction App's ability to recognize and process the code's data for internal routing.

Understanding QR Types: General vs. Linked
The type of QR code determines how data submitted via the Public Form is filed within the system.
1. General QR Code
- Data Filing: Submissions are recorded as standalone entries in the Public Form repository. They are not pre-associated with any specific system entity.
- Primary Use Case: General feedback or non-specific contact forms.
2. Linked QR Code
- Data Filing: Generated from a specific system entity (e.g., Asset SN0832), the submitted Public Form is automatically tagged and filed against that specific record's data repository.
- Benefit: Provides instant data traceability for internal teams accessing the corresponding record via the Caction App.
