FSM | Simplifying Recurring Service Job Scheduling

In field service industry, managing recurring field service jobs becomes effortless with Caction. Instead of scheduling Jobs everyday, you can set them up once in the system. Admins now can schedule Jobs in advance by pre setting the date, time, and how often these Jobs should be repeated, whether weekly, bi-weekly, monthly, or even yearly. This ensures that all routine service Jobs are planned efficiently and never missed.

1. How to Use the Repeat Job Feature on Desktop for Service Jobs?

In this guide, lets take an example where Technicians need to do weekly equipment checks. As an Admin, rather than manually creating the required Jobs to the schedule week after week, you just set it up once. Below here are step by step guide on how to do it :

  1. Select ‘+ Add Job’ button to start creating Job.

Important Note: Repeat Job can only be set up during Job creation

  1. Select required Job category and Save it.

 

  1. Key in all the necessary information in the Job details.

Important Note: Select the required Assets when creating this Repeat Job process. Then, upcoming scheduled Jobs will include those Assets automatically.

 

Field Name Description
Select Job Category* Classifies the type of job.
Status* Indicates the current status of the job.
Select Site/Customer Choose a customer from those registered in the system. After selecting Customer, you will be asked to select Project under that Customer.
Select Asset Choose an asset from those registered in the system.
Job Start End Date* The date range when the job is planned to start and end.
Recurrent Job Indicates if the job reoccurs.
Assigned User The user responsible for the job.
Reminder Set a reminder for the job.
Description Detailed description of the job.

Important Note: Fields marked with an asterisk ( * ) are required

 

  1. Scroll down and click the "Does not repeat" button. 

 

  1. Set how often the Job should be repeated.For this example, you will type "1" and choose "Week" from the dropdown field. This means the Job will repeat every week.

Important Note : Please note that there are two options available to define the condition of the repeated Job. You may set it to end on a specific date or after a specified number of repetitions

 

  • Scenario 1 : Repeat Job by End Date

The Jobs will continue to repeat until the specified end date. In this example, you may select an end date to determine when the recurring Jobs should stop (e.g., June 30, 2026). Click the “Save” button to apply and proceed with the selected repeat settings.

In Job Schedule Page, you can view that required Jobs will be repeated weekly till Tuesday 30 June 2026.

 

 

  • Scenario 2: Repeat Job By Occurrence

The Job repeats until the specified number of occurrences is reached. In this case, you will select "After" and set how many times the Job will repeat.Click the “Save” button to apply and proceed with the selected repeat settings.

In Job Schedule Page, you can view that required Jobs will be repeated weekly for only 2 times.

 

 

2. How to Use the Repeat Job Feature on Mobile for Service Jobs?

Using the Repeat Job feature on mobile is similar to the process on Desktop. Below is a step by step guide to help you navigate and set it up accordingly using your mobile :

  1. Select ‘+ ‘ button to start create Job and select the required Job Category. 

                                                                                  

  1. Key in all the necessary information in the Job details. Click the ‘Does not repeat’ button.

                          

Important Note: Select the required Assets when creating this Repeat Job process. Then, upcoming scheduled Jobs will include those Assets automatically.

 

  1. Set how often the Job should be repeated.For this example, you will type "1" and choose "Week" from the dropdown field. This means the Job will repeat every week.
