Filtering Jobs and Projects in the Gantt Chart

The Gantt Chart allows you to view all project jobs in a timeline format. In addition to visualizing project schedules, this page includes advanced filtering and colouring features that help you quickly focus on relevant jobs, monitor progress, and identify priorities.

Benefits :

  • Quickly highlight jobs or projects using Colour By and Group filters.

  • Monitor project progress efficiently by focusing on active work.

  • Identify gaps, overlaps, or critical tasks across the project timeline.

  • Hide completed or cancelled projects to reduce visual clutter.

  • Share filtered views or set them as global reminders for yourself or other users.

Key Terms and Features

No Terms Description
1 Colour By Differentiate jobs/projects by Data Level, Category, Status, Critical Path, Assignee, or To Me.
2 Project Status Grouping Automatically hides projects that are Completed or Cancelled to focus on active work.
3 Group Filters Filter jobs/projects by Site or Project.
4 Favourite Filter Save your current filter and view settings for quick access.
5 Share / Global Reminder Share filtered views with other users or set as a global reminder for repeated use.


Colour By Options

Group Colouring
Data Level Project = Yellow
Job = Green
Category Randomised colours for up to 9 categories
Status  Based on user-defined status colours (light tone)
Critical Path Linked jobs highlighted in light red
Assignee First assigned user’s colour
To Me Assigned to me = Blue
Others = Grey


Project Status Grouping

The Project Status Grouping feature hides projects by default based on their status:

  • Completed Projects

  • Cancelled Projects

This helps reduce visual clutter and ensures users can focus on ongoing and upcoming projects. Hidden projects can be revealed by adjusting the grouping settings.


Additional Group Filters

You can also filter jobs/projects using Site or Project group filters, which narrow the timeline view to a specific operational location or project.


Sharing and Saving Filters

Filters in the Gantt Chart cannot be exported.

Instead, you can:

  • Set filters as a Global Reminder – Apply the same filtered view automatically each time you open the Gantt Chart.

  • Share filtered view via link – Share the filter link with other users so everyone sees the same timeline configuration.


Notes

  • Filters in the Gantt Chart are visual only and do not modify job data.

  • Access to Colour By, Group, and Status features depends on user permissions.
