What Is Comment and Its Functions?
In Caction, you will find Comment Section in Jobs, Projects, Assets and even in Digital Forms. Users can use this feature to share updates, upload or capture photos of important information, and notify other users when required. The Comment section will keep communication and discussions organized in one place within the system. In this guide, we will explore the functions of the Comment feature in Caction, including how to Reply, Forward, and Delete comments.
The Job Comment section will be used as an example in this guide, but the same steps apply to Projects, Assets, and Digital Forms.

a. How to Type In Comments?
- Click on the required Job and select the “Comments” tab, or simply scroll down to the Comments section in the Job details. Click on the "Type a comment" section.

a. Comment Section : Job Status

b. Comment Section : Comment Category
You must select the relevant Comment Category when typing a comment. For example, if it is related to Spare Part Required, choose that category. This is important because it helps you easily track updates later in the Update Report by filtering by category.

c. Comment Section : Asset
If you are making a comment for a specific Asset, make sure to select the correct Asset as shown. This is important because it allows you to track the update history for each Asset later.

d. Comment Section : Comment Status
You will see an option for Comment Status, which is different from Job Status. Comments can have their own statuses as well. For example, if a technician creates a comment for Spare Part Required and sets the Comment Status : Needing Attention, the Admin can easily spot it in the Job details. This helps ensure that every raised issue is acknowledged, tracked, and properly resolved.

b. How to Filter Comments?
- Click on the required Job and select the “Comments” tab, or simply scroll down to the Comments section in the Job details. All the comments made can be seen here.

- For example, if you only want to view Before Service and After Service updates in a Job, click the “Filter by Category” button and select the required comment categories.

- Now, the Job comment section will display only the Before Service and After Service updates. System Update comments may also appear in the section. To hide them, simply turn off the System Update toggle as shown below.

c. How to Reply Comments?
- Click on the three dots icon and click "Reply Comment".

d. How to Foward Comments?
- Click on the three dots icon and click "Foward" icon.

- You can select which Job comments need to be fowarded. Then click "Foward" arrow icon. You will see 2 options when forwarding comments :
- “Forward to This Project” option will forward the comment to the Project that contains the current Job.
- “More Options” allows you to forward the comment to other data levels such as another Job, Project, Asset, or Digital Form

Scenario 2 : You click "More Options"
The system will display options for you to choose the type Forward Destination, along with a list of available destinations. For example, if you choose to forward the comment to another Job, make sure to select the correct Job accordingly based on the list provided.

Optional : If you enable the toggle as shown below, the forwarded comment will change its Comment Status : Fowarded

e. How to Delete Comments?
- Click on the three dots icon and click "Delete" icon.

Important Note : If you do not see the option to delete a comment, it may be due to your account settings or access permissions. Kindly contact your Admin to enable the delete access for you.
f. How to Enable Delete Access for User ?
- Navigate to Main Menu > User Management > User Account Custmization.

- Choose the required User and click the Pencil Icon.

- Under Control Settings, scroll down until you see the Edit Comment settings. Select the required delete access type, then click Save.

There are 4 types of access settings available for Edit Comment :

- No comment editing allowed - Users are not allowed to edit any comments.
- Can edit own comment within a day - Users can edit their own comments within 24 hours after posting.
- Can edit own comments only - Users can edit only the comments they created.
- Can edit any comments - Users are allowed to edit all comments in the system.
