Adding New Fields - What is it?

Adding a new field allows organizations to customize data collection by inserting custom input elements into any data level—such as Customers, Projects, Jobs, Assets, or Digital Forms. Instead of relying solely on default system parameters, admins can customize forms and data records with custom elements including Text fields, Dropdowns, Checkboxes, Dates, Attachments, Signatures, and more.

How to add a field?

  1. To add a field, you first need to be inside any Template Settings. As an example, we are now inside Digital Form Template Settings.
  2. Next, scroll down to the Custom Field Element section. There should be a section on the left side for types of fields that you can add. 

  1. Choose whichever field you want to add and click on it. It should automatically appear on the right side of this section. For example, Text field was chosen here as a new field.


Options when adding new field

After the field has been added, you are able to rename the field and enable/disable it. 

When configuring a custom field, admins have control over behavior, visibility, and access rights through the following setting options:

Field Behavior & Behavior Controls

  • Editable Field: Enables users to edit or update the field content during data entry.

  • Required Field: Requires completion of the field before the form or record can be saved or submitted.

  • Locked Field: Prevents users from modifying the input value once populated, keeping the data static.

  • Use This For All Category: Automatically applies and displays the new field across all categories within that data level.

Access Permissions (Visibility Settings)

  • View to Admin Only: Restricts field visibility exclusively to System Administrators.

  • View to Admin & Sub Admin Only: Limits visibility to Administrators and Sub-Administrators, hiding it from standard field staff.

  • View to All Users: Makes the field visible to every team member accessing the data or form.

Default Value

  • Default Value Input: Pre-populates the field with standard placeholder (e.g., standard names or default codes) to simplify data entry for users.


How to add a field inside Checklist field?

  1. After the Checklist field has been added, click on Manage Items. It should show you a table.

  1. Click on Add New, and similar to how we added a field earlier, you can choose and click on whichever field you want to add. 

  1. After the field has been added, you will be able to customize it to fit your requirements. Don't forget to click Save. 


How to add a field inside Product/Services section?

  1. To add a new field in Product/Service section, you can click on New field button or Add New button.

  1. After the field has been added, you will be able to customize it to fit your requirements. 


Label to Label and Mapping

Label-to-label mapping automatically transfers data top-down from parent modules to child modules (e.g., Project → Job), eliminating redundant manual entry. For data to flow automatically, fields must meet three key requirements.

  • Exact Name Match: Field labels must be spelled identically across both templates.
  • Matching Field Types: Both fields must use the same input type (e.g., Text to Text, Date to Date).
  • One-Way Flow: Data passes strictly top-down through the system hierarchy.
